BETA - Booking Deposits

This new feature is currently in BETA. Booking Deposits will allow customers to secure their bookings by paying a deposit upfront, improving commitment rates, reducing last-minute cancellations and No- shows. 

Deposit requests are triggered manually by you or your team from the cloud appointment book Touch Tip.

How to request a Booking Deposit in cloud:

  1. Make the booking in Fusion or Cloud, Go to the Touch tip in Cloud to Request the deposit

    *If making the booking in Cloud, it will automatically load the Touch Tip

  2. Click the Request deposit.

  3. The Touch Tip will then show the request date and time.

  4. The Appointment colour will change to Yellow

The Set up:

The feature will automatically be turned on when the payment provider and online booking deposits are active. The Booking Deposit email campaign will be active as apart of the feature.

No action is required if using the default settings. You can however make any changes to the communications and booking deposit rules.

Here you will see booking deposits as active by default when online booking deposits is already active. Deactivating Deposit Feature will turn off all Deposits inc' Online. You can turn off Online Booking Deposits only.  

  • The rules for both Booking deposits and Online bookings deposits are the same. So no action required for the setup.
  • Fusion Services will take on the rule for "any service" even when they are not online bookable.
  • Priority Rules work exactly  the same - highest priority is the amount that is taken when the services sits in multiple rules.  
  • A Site can make rules for fusion services only now, select the service/s from the list.
  • Online booking services appear in the list with (*)

    Q. If I have a service with no rules and no rule on all services what does it say in cloud? 

    It shows in the Touch Tip - No deposit required.


Email and SMS campaign:

By design the Booking Deposit Email and the 3 Reminder Emails will be activated as soon as the feature is turned on - no set up required. If the Company would also like to to turn on SMS campaigns this can be done in Cloud Marketing. You make changes and edit the email in cloud.

Up to 3 Automatic Reminders will be sent to Customers on a default send schedule, however you can force send up to 3 reminders directly from the Touch Tip .

The email will be sent to the Client within 2-5mins of selecting Request deposit.

SMS Request is not turned on automatically, sites will need to activate in Cloud Marketing. 

  • Option to turn on Always or Only if no email is recorded



How to make changes to the Deposit request Campaign and Reminders:

  1. Select Messages from left side bar menu
  2. Select Booking deposit request
  3. Green icon indicates what campaign is active
  4. You can edit the timing of the 1st to 3rd reminders
  5. You can edit the Email Subject, Header and Sign off and Change images. 
  6. You can also activate SMS reminders 



 


What changes will the Site see to the Fusion icons/Touch Tip before payment:

    No Changes to Fusion for Requesting the deposit. All the buttons and requests are in Cloud only. Fusion coming ....... (You will see the paid deposit in the Fusion Touch Tip)

    Status colour of booking will change when card has been requested.


    What changes will the Site see to the Cloud icons/Touch Tip:

    1. You’ll see a button in your Cloud Appointment Touch Tip to requests deposits.
      and another button to Send Reminders for the deposits on Touch Tip.

    Payment Received/ Not Received:

    1. In Cloud once the deposit has been received from the client the appointment colour will change to green/and the booking status colour. 
    2. The Cloud Touch Tip will also display how much has been received and date that the deposit was received. It will also show if they have opted in to Cardless and Cancellations.  
    3. The Fusion Touch Tip will show the Green card icon and the amount in the Touch Tip.
    4. If the client does not make payment, up to 3 reminders will be sent and it will display as all reminders sent and to contact the client in Cloud Touch Tip.

    Example: This is what the Touch Tip looks like when no deposit has been received and 2 reminders have been sent.

    Example: When the client has been sent all 3 reminders and the limit has been reached.


    In Fusion, when the setting is unticked this will exempt the client from providing card details and payment.

    Fusion icons Touch Tip once deposit is made:

    1. Green Card icon indicates - Booking Deposit /Online booking Deposit

     

    1. Touch Tip in Fusion will see the way the appointment was made. eg. Shortcuts appointment/Cloud booking and the Paid upfront amount - this is how you will  understand if it is a Booking deposit /online booking deposit. 

     

     


    Fusion - How to check out with Booking Deposit at point of sale  

    1. Bring the client to point of sale
    2. The booking pre payment redemption line will automatically appear
    3. Take the outstanding amount and finish the sale


    Fusion/Cloud - Reschedule booking 

    The Booking Deposit will stay with the clients profile if you reschedule the booking. 

    Fusion - Changing service/ adding extra services

    Change service on the day in appointment book and point of sale.

    The Booking Deposit will stay attached to the booking and checked out as normal.

    When adding or changing service ahead of time, you cannot request a further deposit if the original deposit has already been received. The original deposit is kept against the new booking.


    Fusion - How to refund a Booking Deposit

    1. Select the Client from the Clients Search Screen 
    2. Go to the History of the client
    3. Right click on the Booking Pre payment and choose Refund
    4. Then go to the point of sale screen
    5. Select finish sale, choose the reason for refund 

    Select the Card on file to refund. 




    Fusion - How to use the Booking Deposit as a Cancellation charge?

     *Cancellations Sundry must be set up first

     

    1. Cancel the appointment with Client cancellation reason or no show
    2. Go to Point of Sale
    3. New sale add the client in from the search screen 
    4. Any un used Booking Deposit amount will appear then select the Sundry item Cancellations enter the same value as the Booking Deposit. Select finish sale. This will take the Booking deposit off the clients account.

    Security 

    If a site has booking deposits /cardless/cancellation on - the request card buttons will be visible - no security permissions associated.

    • Who can view and request deposits? Anyone

    Q. If my employee has view only permissions in cloud can they still send a deposit? Yes, they can send the request.
